Choosing A Caterer

We cover the things you need to consider if you want to choose a caterer for your wedding. We give you ideas regarding the cost per plate you can expect, and some tips regarding things you should inquire about with your chosen caterer.

If you did not choose an all-inclusive type of reception site like a hotel, restaurant, or a similar style facility that has food service, it means that you will have to hire a caterer.  You will also have to arrange for your own liquor license and bar service.  So, let’s start with the caterer.

Most people who choose a rental style reception site like a community centre, cultural centre, etc., or a ‘site only’ reception site, have some ideas when it comes to choosing a caterer.  If you don’t, the first place to ask is at your rental site.  Community centres, or sites that have functions there regularly can refer you to a list of caterers that have worked with them in the past.  Some community centres require that you use their contracted caterer, and some community centres let you choose who you want.  If you are looking for a caterer, ask friends and family for referrals, or check with other wedding sites to see whom they recommend.

Once you have a few caterers picked out, that is the time to visit them and interview them.  It is common to do food testing, but it is easy for the caterer to cook a good meal for two people—and not so easy for 100 people—so asking for wedding-couple references is very important.  Try at least two items for each course in your price range, so you have a choice.

Usually caterers charge a per-person cost, and it can range anywhere from $30 to several hundred dollars.  It is important to know what is included in the price—gratuity, taxes, or even rentals if you want something special.

If you have done the previous checklists, you know what specific reception ideas you are exploring, whether it is a late night cocktail reception, or if you are comparing a dinner buffet to plated service.  Make notes of everything because once you have talked to two or three caterers, you will start to forget who offered which services.

Make sure to ask if the Caterer will act as a Banquet Manager or Wedding Coordinator to do things like cue the band, telling the couple when to cut the cake, etc.  Sometimes, they do, and sometimes they don’t.  If they don’t, you will have to arrange for someone to oversee the wedding day timeline.  This is covered in more detail in another module.
